Conception and Event Planning Services

We can help you come up with an idea, even if you are unsure of what you want to do. For example, maybe you know that you need to host an event for out-of-town investors, but have no idea of how to entertain them. Or, you’re planning a fundraiser gala for a nonprofit and haven’t yet nailed down a theme or any details for the gala.

We will spend time with you to figure out what you want and need. Following our meeting we will offer suggestions, and then run with your chosen idea, planning every last detail of the event. This includes pinning down the date, time, location, budget, entertainment, food and favors, as well as any other details of the event that you may need.

Service Bid and Contract Management

Events often involve a lot of vendors, which means that there will be different contracts for each one. Common vendors include the event venue, the caterer, music, entertainment, emcees, transportation and speakers. You may need to rent tables, tents or any other party supplies, that also involves a contract. We can help look at the different vendors, can accept bids or can help choose which vendor is best. Understanding all terms in those agreements and making sure that all vendors follow through, takes a considerable amount of time. We can handle those duties to make things easier for you, our client.

Location Scouting

We make it our business to know which event venues are available in our area so that we may offer suggestions that match a your needs. Sometimes finding the right location requires us to research and find something new. We are up for the challenge.

We will visit our all venues prior to giving our suggestions to ensure that it can accommodate your event.

Day of Event Coordination

Our job doesn’t stop when the day of the event arrives. We are responsible for making sure everything happens as planned, from all of the vendors showing up on time to guests knowing where to go. We will have the logistics of the day worked out ahead of time. On the day of the event, we will make sure those logistics play out as planned.

If problems pop up, we will come up with a solution. We will make sure all of the different vendors work well together as needed and ensure that everyone has the time and space to set up.

Follow-Up Activities

Even after the last guest is out the door and the venue is clean, our services will continue as needed. We offer to handle follow-up activities for our clients. This might include making sure that all vendors get paid on time. We also handle things such as returning rented items or sending out thank-you messages to those involved.
